Bay statuses are an essential part of managing your venue's operations, providing real-time visibility into the availability and usage of your bays. They help ensure smooth operations, efficient scheduling, and a better customer experience by clearly indicating the current state of each bay.
You might have noticed a button in the bottom left corner of your admin panel labeled Bay Statuses. Clicking on this will open a small window with explanations for the various bay statuses. Let’s go through them one by one in more detail:
Restricted
This status appears when a bay is restricted from booking. You can restrict a bay in several ways, such as by setting a "day of the week rule" or a "date rule" for individual bays or bay groups. You can also fully restrict a bay, making it unavailable for booking altogether.
Blocked
Use this status when you want to temporarily prevent part of the bay’s availability from being booked. For example, if you're awaiting confirmation from a customer, you can block off the bay. Once resolved, the block can be removed to make the bay available again.
To block a bay:
- Click the "Enter Block Mode" button next to the Bay Statuses button in the bottom left corner.
- Select multiple bays to block them simultaneously.
- Confirm the block on the right-hand side.
Blocked bays will appear greyed out.
Selected
When you click on a bay, it will become selected and remain so until you choose a different slot or make a booking.
Admin Selected
Once you select a bay and add an option to it, the status changes to Admin Selected. This remains until the booking is completed through checkout. If you need to cancel, simply click on the bay to remove the selection.
Booked
When a booking is made, the bay status changes to Booked. This status shows the customer’s name, booking number, and player options.
Attended
When a customer checks in and begins their session, the bay status changes to Attended and is highlighted in purple.
Watched
If a customer places a booking in their basket but hasn’t completed checkout, the bay will show as Watched.
- If they proceed with the booking, the status will update to Booked.
- If they abandon the process or their 5-minute basket time expires, the status will disappear.
Anonymous
If you book a bay without associating it with a specific customer, it will be marked as Anonymous. This status appears slightly different from a regular Booked status but will still show in red.
Available
A green status indicates that the bay is open and available for booking.
Warning/Unpaid
If a booking is processed without payment in the admin panel, the bay will show this status. A flashing dollar sign will indicate that the booking requires your attention.
By familiarizing yourself with these statuses, you can better understand what’s happening in your venue at a glance, directly from the Bay Tab in the admin panel.
